Key Responsibilities

Operational Administration & Record Keeping

  • Monthly Contributions & Integration: Review and validate monthly shared payroll contributions for all four entities. Issue official instruction letters to the trustee (Citi), prepare and record accounting entries in SAP, and generate data layouts for the third-party record-keeping platform to ensure accurate allocation.

  • Separations & Terminations: Audit and reconcile termination and severance payouts against record-keeping balances and SAP records; execute financial recoveries where applicable.

  • Platform Management & Statements: Maintain employee-level data accuracy in Meta4 and external participant portals, ensuring statements and balances are updated and accessible.

  • Intercompany Transfers: Calculate and execute balance adjustments (Defined Benefit and Defined Contribution) for employee transfers between group entities.

Accounting, Valuation & Financial Reporting

  • Fund Valuation & Cash Flow: Reconcile monthly valuation statements provided by trustees/asset managers against bank statements, general ledger balances, and Accitrade closing reports across 28 active plan contracts. Prepare monthly cash flow reports for actuarial advisors (WTW).

  • Corporate Accounting (US GAAP / Local GAAP):

    • Record monthly pension provision entries and quarterly Other Comprehensive Income (OCI) adjustments.

    • Reconcile memo/off-balance-sheet accounts in SAP

    • Prepare quarterly corporate reporting figures (CFN 2 and CFN 5), deliver Balance Sheet Reviews (BSR), and explain cash flow variances related to pension GL lines.

  • Annual Financial Closing: Lead the annual pension closing process (Kick-off, funding calculations, 10-K footnote preparation, final actuarial balances, extraordinary adjustments, and formal annual audit opinions).

Governance, Pension Committee & Vendor Management

  • Technical Pension Committee: Organize and lead quarterly meetings with the Technical Pension Committee and external investment advisors (WTW). Prepare executive presentations, review portfolio yield and performance, draft meeting minutes, collect required signatures, and maintain updated trustee signatory lists.

  • Vendor & Asset Manager Management: Review and approve fee invoices and commission settlements for trustees, fund managers, and advisors (Citi, SURA, VALMEX, WTW, Record Keeper). Generate purchase orders and execute payment instructions.

  • Budgeting & Actuarial Estimates: Coordinate with actuaries and payroll teams to determine the annual Net Periodic Pension Cost (NPPC / CNP), updating Latest Estimates (MLE) and annual budget forecasts.

  • Shareholder Proxy Voting: Coordinate information, documentation, and execution of proxy votes associated with plan assets.

Compliance, Taxation, SOX & Retiree Relations

  • Regulatory Compliance (CONSAR): Prepare and file the annual performance and statistical report with the national pension authority (CONSAR) to preserve the tax deductibility of the pension plan.

  • Internal Controls & Audit: Ensure full compliance with Sarbanes-Oxley (SOX) controls; act as key point of contact for internal, external, and GRC audits.

  • Retiree Benefit Administration: Supervise monthly retiree pension payments, publish annual payment schedules, adjust tax withholding tables according to updated local tax laws (ISR), and coordinate distribution of annual tax withholding certificates.

  • Participant Support & Continuous Improvement: Serve as the primary contact for active employees and retirees regarding inquiries, account statements, and dispute resolution. Support strategic technology migrations and system remediation projects (e.g., Record Keeper platform enhancements).
