Order Management & WorkForce Planner

On-site Surrey, Canada full time
This position analyzes order demand, forecasts workload, manages daily order and wave planning, translates workload requirements into labor needs, and continuously improves workforce and operational planning processes within the Distribution Center. This position interfaces with all department Team Leaders, workers, and upper management.

ESSENTIAL DUTIES AND RESPONSIBILITIES


Order Management & Wave Planning 

  • Build, release, and optimize daily waves in accordance with established processes, routing requirements, priorities, VAS needs, and operational constraints. 
  • Analyze order volume, order types, priorities, processing requirements, and operational capacity to ensure efficient workload flow and timely processing. 
  • Manage primary and specialized waves, including Dedicated, Distributors, POP, Apparel, and Online Orders. 
  • Monitor workload throughout the day and adjust wave plans based on changing volumes, priorities, and operational conditions. 
  • Prepare and communicate ticketing reports, wave recaps, and other reports required for workload planning and final work release. 
  • Identify and coordinate resolution of order-flow issues, exceptions, shortages, and workflow disruptions with Operations, Allocations, Inventory, Logistics, and Management. 
  • Partner with Corporate and DC Management to implement changes to wave-planning processes, priorities, and business requirements. 

 

Order Analysis, Forecasting & Workload Planning 

  • Analyze historical and current order data, volume trends, order mix, seasonality, and workload patterns to develop and maintain accurate forecasts. 
  • Collaborate with business partners to develop, validate, and refine order and workload forecasts. 
  • Translate forecasted demand into actionable workload, operational capacity, and resource requirements. 
  • Monitor actual volumes and workload against forecasts, identify variances and emerging trends, and communicate significant changes and potential operational impacts. 
  • Provide short- and long-term workload analysis to support proactive operational planning and capacity management. 

 

Workforce & Labor Planning 

  • Translate workload forecasts and operational requirements into staffing needs by team, process, and operational area. 
  • Partner with Supervisors and Operations to plan daily labor allocation and align staffing with volume, priorities, and business requirements. 
  • Maintain, develop, and improve labor-planning and staffing tools to ensure accurate and effective workforce utilization. 
  • Analyze staffing capacity versus workload requirements to identify gaps, constraints, and opportunities for improved labor utilization and workflow balancing. 
  • Monitor actual workload and staffing performance against plans and adjust personnel requirements as conditions change. 
  • Provide management with data-driven analysis and recommendations related to staffing, productivity, workload, and resource requirements. 

 

Reporting, Analysis & Continuous Improvement 

  • Produce and maintain daily, weekly, and ad-hoc reports covering order volume, waves, workload, staffing, forecasting, and operational requirements. 
  • Analyze operational data to identify trends, inefficiencies, exceptions, capacity constraints, and improvement opportunities. 
  • Maintain accurate historical and planning data to support forecasting and operational decision-making. 
  • Continuously evaluate and improve planning processes, tools, reports, and methodologies in response to changing systems, processes, technology, and business requirements. 
  • Present workload, forecasting, wave-planning, staffing, and operational information to Management and provide timely communication regarding risks, exceptions, and resource requirements.

 

Cross-Functional Collaboration 

  • Partner with DC Operations, Allocations, Inventory, Logistics, Corporate Management, and other business units to align demand, capacity, workload, and labor resources. 
  • Communicate effectively across departments to investigate and resolve order, inventory, staffing, and operational issues. 
  • Evaluate the operational impact of business and process changes and develop appropriate workload, capacity, and staffing plans. 
  • Maintain strong cross-functional relationships to support effective execution and continuous improvement. 

Job Requirements-

  • Onsite at the Distribution Centre
  • Demonstrable experience in WMS, database query management (AS400 is preferred).
  • System knowledge of Ortec, Commander, PKMS, would be an advantage.
  • Strong analytical, problem-solving, forecasting, and data-interpretation skills. 
  • Knowledge of warehouse operations, order flow, wave planning, picking processes, labor planning, and workforce requirements. 
  • Ability to translate data and forecasts into actionable operational and staffing plans. 
  • Strong organization, prioritization, attention to detail, and time-management skills. 
  • Effective communication and cross-functional collaboration skills. 
  • Ability to work independently and adapt effectively in a fast-paced, changing operational environment. 
  • Continuous-improvement mindset with a focus on accuracy, efficiency, and resource optimization. 
  • Experience working in a Distribution Centre would be an asset  

Education and Experience-

  • High School Diploma or equivalent preferred
  • 2+ year(s) experience in Warehousing, Processing; Production planning, Wave Building or equivalent
