Executive Assistant to Executive Managing Director - Employee Benefits

The Executive Assistant plays a critical role in maximizing the efficiency and effectiveness of the Executive Managing Director by providing high-level administrative, organizational, and communication support, with a strong emphasis on leveraging technology to streamline workflows. Serving as an extension of the Executive Managing Director, this position requires strong judgment, proactive problem-solving, technical fluency across digital tools and platforms, and the ability to manage sensitive information with absolute confidentiality.

How You Will Contribute: 

·         Act as the main point of contact between the Executive Managing Director and internal/external clients and vendors.

·         Support planning, organizing, and facilitating meetings, including setup and troubleshooting of virtual meeting platforms (e.g., Teams).

·         Manage complex calendars, schedule meetings, and coordinate appointments.

·         Coordinate and manage all travel arrangements for the Employee Benefits Leader, including flights, hotels, ground transportation, and dining reservations.

·         Build detailed, easy-to-follow itineraries that consolidate confirmations, timing, addresses, and contact information in one place, and share them in advance via calendar invites or shared documents.

·         Monitor flight status and travel alerts in real time, and proactively rebook or adjust plans in response to delays, cancellations, or last-minute schedule changes.

·         Reconcile travel-related expenses and receipts promptly following each trip, ensuring accurate and timely expense report submission.

·         Produce polished presentations with a high degree of autonomy, using tools such as PowerPoint, Excel, and Claude.

·         Complete and submit expense reports and other financial reports for the Employee Benefits Leader.

·         Collect and analyze data for implications regarding budget, project, and/or program initiatives.

·         Prepare and edit correspondence from the Employee Benefits Leader to internal/external clients.

·         Prepare agendas, notices, minutes, and resolutions for meetings using collaborative document tools for real-time editing and distribution.

·         Support coordination of company initiatives and cross-functional projects.

·         Maintain confidentiality and exercise discretion with sensitive information.

·         Work well with all levels of leadership, teammates, vendors, clients, and carriers.

·         Continue professional development, including staying current on emerging tools and technologies relevant to executive support.

Licenses & Certifications:

·         Bachelor's Degree (BA/BS) in a business-related field is preferred, with three (3) years of related experience as an Executive Assistant; other combinations of work and/or education will be considered

·         Intermediate to Expert Microsoft Office skills - specifically PowerPoint, Excel, and Teams

·         Comfort with data visualization and reporting tools (e.g., Excel pivot tables/charts, Power BI, or similar)

·         Experience with e-signature and digital document management platforms (e.g., DocuSign)
