Executive Assistant, Asset Management

On-site New York, United States

Swiss Re Asset Management is seeking an experienced and highly organized Executive Assistant to support 3-4 Managing Directors based in New York. This role combines high-quality executive support with an important role in helping create a connected, collaborative and engaging office environment for our New York Asset Management colleagues.

About the Role

The role will focus primarily on calendar and meeting management, travel coordination, expenses, and day-to-day administrative support for the Managing Directors. In addition, you will help bring colleagues together across teams by supporting New York office events, employee activities and other initiatives that strengthen engagement and community.

This is a highly visible role that interacts with colleagues across Asset Management and the broader New York office. We are looking for someone who is exceptionally organized and dependable, but also approachable, collaborative and energized by connecting with people.

Key responsibilities include:

Executive support and coordination

  • Manage calendars and scheduling for 3-4 Managing Directors, coordinating meetings across multiple teams, seniority levels and global time zones
  • Coordinate domestic and international travel, including flights, hotels, ground transportation, itineraries and related logistics
  • Prepare and process expenses and support routine administrative processes
  • Coordinate meetings and visitors, including conference rooms, visitor registration, catering and other logistics
  • Work closely with Executive Assistants and colleagues globally to coordinate schedules, meetings and travel
  • Provide general administrative support to the Managing Directors and their teams as needed
  • Provide backup support to other Executive Assistants during absences or periods of high activity

New York office community and engagement

  • Help plan and coordinate New York office events and employee activities that bring colleagues together and strengthen the sense of community
  • Partner with colleagues across different teams and functions to identify and support opportunities for connection, collaboration and engagement
  • Coordinate event logistics, including invitations, communications, venues, catering, room setup and on-the-day execution
  • Support internal gatherings such as team events, leadership visits, employee activities and community or volunteering initiatives
  • Build relationships across the New York office and serve as an approachable and helpful point of connection for colleagues
  • Bring energy and creativity to office activities while ensuring events are well organized and professionally executed

About the Team

This role sits within Swiss Re's Asset Management division — a globally connected, intellectually driven organization responsible for managing Swiss Re's significant investment portfolio. You will provide dedicated administrative support to the Managing Directors of three distinct teams, each with its own focus and global reach:

Alternative Capital Partners

You will provide administrative support to the Head of this division, based in New York City, across a wide range of strategic investment and corporate development activities.

Investment Strategy & Public Fixed Income

This global team operates across a broad and diversified range of activities, organized around Investment Strategy, Strategic Asset Allocation (SAA), Derivative Structuring and Execution, and Public Fixed Income. You will support the Head of Investment Strategy & Public Fixed Income, based in New York City, as this team navigates complex and dynamic market environments.

Private Debt

This global team is responsible for infrastructure investment, commercial mortgage lending, and middle-market loans. You will provide administrative support to the Head of Private Debt, based in New York City, as the team manages a sophisticated and diversified private debt portfolio.

About You

You are an experienced Executive Assistant who is highly organized, dependable and comfortable supporting multiple senior leaders. You enjoy managing the details that allow busy executives and teams to operate effectively.

You are also comfortable working independently and creating your own connections across the office. This role operates with a high degree of autonomy and does not sit within a large local Executive Assistant team, so you should be someone who is self-directed, resourceful and comfortable managing your day without significant day-to-day oversight or a built-in peer group.

At the same time, you enjoy working with people. You naturally build relationships and are energized by getting to know colleagues across teams and helping create an environment where people feel connected and engaged. You are comfortable taking an idea for an office event or activity and helping turn it into something colleagues genuinely want to participate in.

You communicate clearly, exercise good judgment and discretion, and remain composed when schedules change or competing demands arise.

We are looking for:

  • 4–6 years of experience providing administrative or executive support in a corporate environment
  • Strong experience managing calendars for multiple senior executives, including scheduling across time zones
  • Demonstrated experience coordinating domestic and international travel
  • Excellent organizational skills and strong attention to detail
  • Strong working knowledge of Microsoft Outlook, Word, PowerPoint and Excel
  • Clear and professional written and verbal communication skills
  • Ability to manage multiple priorities and adapt quickly when plans change
  • Strong judgment and discretion when handling confidential information
  • An outgoing, collaborative and service-oriented approach, with an interest in building relationships across teams
  • Enthusiasm for helping organize events and activities that contribute to a positive and connected office culture

Nice to have:

  • Experience supporting corporate events, employee engagement activities or office community initiatives
  • Experience working in financial services, asset management or another global corporate environment
  • Bachelor's degree or equivalent professional experience
