Job Description
We're looking for an experienced Executive Assistant to provide high-quality support to our Chief Scams Officer (CSO).
You'll be a trusted adviser, proactive operator and the person who keeps a busy executive, leadership team, and Scams function running at their best. If you're energised by pace, thrive in complexity, and pride yourself on always being three steps ahead, we'd love to hear from you.
As the right-hand person to our CSO, you'll play a critical role in ensuring priorities stay on track and opportunities don't get missed. You'll be the hub connecting leaders, teams, and stakeholders across the business.
This role is initially a 6-month max term contract.
In this varied role, you will:
- Proactively manage the CSO’s diary, commitments, operating rhythms and competing priorities
- Coordinate senior meetings, committees, forums and stakeholder engagements from planning through to follow-up
- Prepare agendas, meeting packs, minutes, action registers, presentations, reports and briefing materials
- Support the preparation, version control and circulation of Board, Committee and senior leadership papers
- Build strong relationships with executives, leaders, regulators, industry bodies and other internal and external stakeholders
- Coordinate travel, strategy days, workshops, team events and engagement activities
- Draft and edit professional communications and correspondence for different audiences
- Manage administrative and financial processes, including expenses, invoices, purchase orders and budget tracking
- Support recruitment, onboarding, offboarding and other cyclical business activities
- Identify practical ways to improve processes and reduce duplication through technology, systems and responsible use of AI.
Qualifications
You’ll be an experienced Executive Assistant who is comfortable working autonomously and supporting senior leaders in a complex environment. You will also bring:
- Excellent written and verbal communication skills
- Strong planning, prioritisation and multitasking capability
- Exceptional attention to detail and a commitment to producing accurate, professional work
- Sound judgement and the ability to handle confidential or sensitive information with discretion
- Strong stakeholder management and relationship-building skills
- Confidence coordinating senior meetings, events and stakeholder engagements
- Experience preparing agendas, minutes, reports, presentations and executive briefing materials
- The ability to support Board, Committee or governance administration
- A practical, solution-focused approach and the ability to adapt as priorities change
- Advanced Microsoft Office skills, including Word, PowerPoint, Excel and Outlook
- A collaborative approach and willingness to work closely with other Executive Assistants and teams across AFCA.
